Increase number of roles able to be assigned to an activity to more than 6

Currently there is a limit of 6 roles able to be assigned to any activity. This has lead to having to create an increasing number of group roles or responsibilities purely to use for the process e.g. xx requestor, xx approver, etc. I would like to be able to add all of the roles that will perform this action. Creation of additional roles creates an unnecessary administrative burden.

    Thanks for the suggestion. This has been brought up before and the general rule of thumb is if there are more than six roles in one activity then it's likely that activity can be split into two or more activities.

    We always promote simplicity, however we'll open this for voting to gauge client interest in this idea. Thanks!

    Thanks for the response, in this case we are having many roles potentially performing the same task but relating to their own area e.g. request for investment

    I'd agree with you Kerry however what's missing is that most organsiations (and ours is no different) have a myriad of jod description titles that are similar but not exact. Add to this that we have no full time resource to do role management it adds unnecssary complexity.
    I don't think it's an infinite number either, however six seems quite random. I reckon if you expanded it to ten a lot of noise would dissapear.

    Yes we have a scenario where we need individual roles to be part of a initial disaster assessment and decision making (i.e. responding of a natural disaster). To create a disaster group then requires adminstration of the membership of this group - we we totally don't have time for!

    We create responsibilities in Promapp (as oppsed to roles), to represent groups of people/generic functions performed across mulitple job titles to work around this limitation.

    Yes this creates an overhead and, at the moment (still in roll-out), we do not assign staff to responsibilties, only roles.

    We have aligned our roles in Promapp to the job title in our HR System with a business area prefix to differentiate same title different area positions eg project officer.

    6 is not sufficient we have hit a problem with this number in other software. This issue is likely to be a bigger issue for SMEs or organisations who need multi-skilled employees to take on a larger number of roles.

    I see where you are coming from but when you add too many roles it becomes harder for a user to find the swim lanes that relate to their role and can be a bit messy.

    In our case, generally when there are more than 6 roles assigned to an activity, we create a responsibility and assign that responsibility to the activity. What would be very helpful is if the system could allow assigning roles to responsibilities. Currently it is possible to assign individual users to roles and responsibilities, but not map roles into responsibilities. Some of the responsibilities include a large number of individuals, which is too time consuming to add one by one, and therefore the process and responsibility does not appear in the user's 'Processes I'm In' view.

    I would like to see a feature where we can assign a role to individual tasks as this would give us greater granularity of responsibility. The roles listed against the activity (and the swim-lane) would be a sum of the roles assigned to tasks.

    Hi All! The most efficient way to address this is by enchasing the Management of Roles & Responsibilities:
    A feature should be developed to "link" a Responsibility with multiple Roles. By this approach we are still keeping the lean presentation of a Process but we keep everyone on the loop by correlating Roles & Responsibilities with the Business rules of each Organization.

    This feature is not planned for in our near term roadmap at this stage, however we'll continue to monitor interest, and update the status of this idea as our plans change.
